DescriptionGrow with usAbout this OpportunityThe main focus of this position is to provide administrative support primarily in finance and accounting, with additional support extended to human resources, legal, and compliance areas for local activities that cannot be performed remotely. The key objectives include:Participating in designing, implementing, and maintaining process improvement initiatives with an emphasis on automation, simplification, and streamlining workflows.Conducting analysis to identify opportunities for improvement, developing project plans, and providing recommendations to enhance efficiency and productivity.What you will doFinance and Accounting Support:Handling payment withholding (WHT) and tax activities, including processing checks and reviewing manual payment requests.Supporting local activities related to financial and tax documents, such as pick up, delivery, and notarization, including guarantees.Assisting external consultants in preparing WHT certificates.Supporting local management, tax, and company control teams for tax activities, such as tax codes, tax payments, tax return reminders, and urgent payments.Submission of Statistical reports in National bank systemPreparation of templates for tax payment requestsAfter approval to include tax payments to bank portalRecords Retention Activities:Scanning and archiving documents, such as vendor agreements.Inventorying documents and preparing records retention index.Handling disposal of documents.Preparing yearly archive plans and/or supporting preparation of record retention schedules.Coordinating with stakeholders for archiving and retrieving documents according to legal/local record retention requirements.Issuing purchase orders to cover external archive services and allocating costs according to company procedures.Collaborating with sourcing to renew contracts of external archives.Intercompany HandlingIC AR (Intercompany Accounts receivable) invoices posting the transactions in local statutory accounting system, recognize income for CIT computation, issue e-tax invoices and send to VAT postal & creation of accepance act for CIT supportingPurchase-to-Pay Activities:Receiving and processing invoices, conducting necessary checks, dispatching invoices and taking actions for invoice posting.Performing month-end closing activities, including SOX key controls.Ensuring all local legal obligations are followed in the Purchase-to-Pay process.Validating payment proposals & Intercompany process handlingActs of reconciliation in local accounting systemReview/confirm payment proposal received from APS teamPrepare and monitor execution of advances, reimbursment of expenses in CITIBANK portal, based on the information provided by APCheck and modify payment orders in bank systemPost bank statement in the local accounting system with the purpuse to reflect them in Financial StatementVerify if payments were executedAccounting balance - verify if payments were executesCommunication with CITIbank for PoA for signatureTravel & Expenses:Prepare business trip ordersCheck EER (Employee Expense Report) and make sure that documents inline with local regulationsVerification of travel claims Deductability of expenses, taxible incomePosting EER (Employee Expense Report) in local accounting system for CIT and PITConcur checking for correct reportingCompliance and Improvement Activities:Suggesting and following up on quantitative and qualitative performance measurements.Supporting or helping coordinate local audits, both internal and external.Supporting administrative activities related to legal governance and compliance, ensuring alignment with local compliance and company policy.Local Language Services Activities:Translating documentation from the primary language to the local language as needed, ensuring accuracy and clarity of information. Service translation is limited to short communications received or invoices, otherwise the service is outsourced. Local Additional Administrative Activities:Performing additional administrative activities as defined in the scope agreed between functions.Getting signatures from all internal stakeholders on all Sourcing documentsEHS SupportThe Skills you will bring:Educational Requirements and Skills:Bachelor’s degree / certificate in accounting, economics, or equivalent proven experience.Good level of written and spoken English.1C knowledge (basic-medium)SAP P12 knowledge (basic)Integrity, professionalism, respect, and perseverance.Good presentation and communication skills.Proactive, service-oriented mindset.Analytical skills and attention to detail.Proficiency in Microsoft Office.Basic taxation knowledge.Knowledge of local laws and regulations in the area of responsibilities.Project management skills.Collaboration skillsNote: Local candidates will be preferred.
