Job Description The Manager is imposed with the following duties and responsibilities: Registration, monitoring and storage of memoranda concluded by the University and its schools and timely update of memoranda registration book; participation in the preparation of consolidated reports on the implementation of strategic documents of the University, its organizations and schools; carrying out activities on implementation and support of the business processes of University’s strategic planning system; assistance in ensuring the operation of the Strategy Committee of the University's Board of Trustees; preparation of information on the activities of the Division for publishing on the University's website and social media; preparation of documents on supervised issues for submission for consideration and/or approval by the Board of Trustees and/or the Managing Council of the University; review and preparation of draft documents (memoranda, contracts, etc.) within the Division’s competence, as well as monitoring and control over their implementation; development of annual draft file register of the Division and transfer of files to the University archive; preparation and provision of information on supervised issues to the authorized state bodies and other organizations and institutions; provision of administrative support to the Division’s activities; work with incoming correspondence, with internal and external requests, timely submission of responses to letters, within the competence of the Division; participation in identification, evaluation, management and monitoring of risks within the framework of supervised direction; timely and proper execution the tasks of the Line manager and the University`s management; observation of the requirements of the legislation of the Republic of Kazakhstan and the Employer`s internal documents; responsibility for exercising the labor and performance discipline; responsibility for ensuring the integrity of official documents, and prevention of the disclosure or leakage of confidential and business information, as well as information of restricted access in accordance with the legislation, Charter and internal documents of the Employer; responsibility for timely transfer of all paper documentation, digital information, inventory to another employee as instructed by the Line manager (to be certified by the act of acceptance-transfer), in case of dismissal. Qualifications WORK EXPERIENCE: Three years minimum. Minimum one year with master`s degree in the relevant area. KNOWLEDGE: - analytical skills in routine problem solving; - knowledge of MS Word, Excel, PowerPoint; - fluency in Kazakh, Russian and English SKILLS: - skills of preparing reports and analytical notes; - critical thinking; - communication skills; - interpersonal skills; - ability to work in team; - responsibility Additional Information Recruitment and selection process Recruitment and selection at Nazarbayev University include the following process: preliminary selection based on experience and qualifications, assessments (e.g. technical skills/capabilities, aptitude, personality, work samples, in-basket exercises, and informal interviews), and motivation.
