College of Humanities and Education is looking for applicants for the following position:

Job Title: CHE Dean’s Executive Assistant

Division: Academic Affairs

College: College of Humanities and Education

Position reports to: Dean

Job purpose: To provide high-level administrative support to Dean’s office

Key Responsibilities and Duties:

  • Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for Dean and Associate Dean.
  • Schedules and attends meetings, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of dean’s office, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, answering phones, and maintaining Dean’s and college calendars.
  • Receive student requests and process them;
  • Manage, organize and update data using database applications;
  • Translate documents as necessary;
  • Assist with the preparation and conducting recruitment events such as Open House Days;
  • Assist with the preparation and conducting various conferences and other college events;
  • Arrange meetings of College Council and committees;
  • Arrange meetings of advisory boards;
  • Distribute meeting agendas and support documents to council members;
  • Take and maintain minutes of College Council, academic committees and advisory boards;
  • Maintain records of meeting minutes for all college committees;
  • Maintain schedules for Dean and Associate Dean for academics purposes;
  • Maintain membership lists of CHE committees;
  • Maintain list of ВАС and BAB members;
  • Maintain list of Alumni Advisory Board Members;
  • Maintain list of Student Advisory Board members;
  • Coordinate all committees in college;
  • Assist in the process of selection of new faculty members;
  • Performs additional duties as assigned by Dean.

Required Qualifications:

  • Bachelor's degree with 2 years of administrative experience;
  • Excellent verbal and written communication skills;
  • Excellent organizational skills and attention to detail;
  • Excellent time management skills with a proven ability to meet deadlines;
  • Ability to function well in a high-paced and at times stressful environment;
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems;
  • Extremely proficient with Microsoft Office with the ability to learn new or updated software;
  • Fluent English and Russian, knowledge of Kazakh;
  • Excellent typing skills.


Preferred Qualifications:

Master's degree, with 2 years of administrative experience
